Summary
The Warehouse & Fulfillment Manager is responsible for overseeing company-wide warehouse operations including procurement, shipping/receiving, coffee and order fulfillment, delivery, and facilities maintenance for Commonplace Coffee’s Headquarters. They will lead a talented fulfillment team charged with meeting daily and weekly output goals. They will focus on optimizing our systems and processes to ensure we are operating at the highest level of efficiency and effectiveness. This position is ideal for someone who is highly detail oriented, driven by creating scalable systems, and an excellent people leader. The Warehouse & Fulfillment Manager will report to the Vice President of Operations & Marketing.
Essential Functions
Inventory and Warehouse Optimization
- Design systems and processes to streamline workflows, reduce waste, optimize the physical space of the warehouse, and improve throughput.
- Identify, maintain and improve use of existing and future warehouse and inventory management software (e.g., ShipStation, Shopify, Cropster, etc.)
- Lead the organization and management of inventory procurement and pricing, ensuring costs are accurately tracked and pricing is up to date
- Order products and maintain accurate stock counts and par levels;managing physical inventory checks.
Fulfillment and Logistics
- Oversee and support fulfillment team members to ensure all orders (wholesale, retail, ecommerce) are fulfilled accurately, with the appropriate speed, quality, and care.
- Collaborate with leadership and their staff to further optimize the fulfillment and delivery process.
- Take a data-driven and people first approach to fulfillment staffing and scheduling based on volume, throughput rate, and efficient process flow.
- Coordinate with the roasting and ordering teams to ensure alignment from order receipt to production to fulfillment.
- Manage carrier relationships through 3PL partnerships, software systems; optimizing shipping processes and rates.
Team Leadership
- Lead, schedule, and coach a team of 4-5 fulfillment and facilities team members to meet daily and weekly operational goals.
- Manage hiring, onboarding, and training; creating and implementing new processes as needed.
- Foster a culture of accountability, teamwork, and continuous improvement.
- Conduct performance reviews, set KPIs, and support employee development.
Delivery
- Manage and schedule local delivery to Commonplace cafes and wholesale clients, ensuring optimal route design and fleet capacity.
- Routinely assess cost of delivery versus shipping and implement appropriate processes for cost management that maintain product quality and honor the customer experience.
Facilities Management
- Serve as manager of the Facilities Lead to ensure Commonplace Headquarters is clean, organized, and compliant with safety regulations.
- Support the Facilities Lead in coordinating opening,closing, and routine maintenance tasks required for the building to operate.
- Oversee management of Commonplace’s vehicle fleet by the Facilities lead and assist with ensuring vehicles are in compliance and maintained/repaired as needed.
Qualifications
- 3-5 years in warehouse, fulfillment, or supply chain management positions (coffee or CPG experience an added plus).
- Driven by efficiency, system optimization, and process improvement.
- Proven leadership experience managing small to mid-sized teams.
- Exceptional organizational and problem-solving skills.
- Experience with inventory management and shipping software; proficient in Google Workspace.
- Comfortable working in a physical, fast-paced environment.
- Detail oriented with strong organizational and project management skills.
- Strong written and oral communication skills.
- Familiarity with contracting, electrical, plumbing strongly preferred.
- Consistent demonstration of integrity.
- Reliable, accountable, and professional demeanor.
- Passion for specialty coffee is a plus!
Physical Demands
- Stand and walk – must be able to stand in place for several hours to operate and/or repair machinery and move about the work environment.
- Perform repetitive tasks – must be able to complete repetitive motions with the hands, wrists, and forearms to operate coffee equipment.
- Stooping – bending body downward and forward by bending spine at the waist.
- Oral communication – must be able to clearly and effectively communicate with team members.
- Carry weight, lift – must be able to lift up to 50 pounds frequently and up to 150 pounds occasionally.
Work environment
- Work is performed in a warehouse environment.
- The work environment can be noisy.
- The work and work environment can be hazardous, including proximity to moving parts, moving vehicles, work with electrical currents, and exposure to high heat and harsh chemicals.
