FINANCE & OPERATIONS ANALYST

Summary
The Finance & Operations Analyst at Commonplace Coffee will play a critical role in driving financial analytics and operational efficiency for the company. This role will be responsible for budgeting, forecasting, and data integration across systems like QuickBooks, Gusto, Deputy, Square, and Shopify. The ideal candidate will bring a strong financial background with a desire to engage in multidisciplinary operations. The impact of this role will be seen across all areas of Commonplace Coffee, including our seven retail cafes, wholesale business, and bakery.  They will report to the Chief Executive Officer and work closely with the executive leadership team.

 

Essential Functions

  • Financial Management & Analysis
    • Serve as the primary financial lead, coordinating with Commonplace Coffee’s outsourced financial support to manage QuickBooks, Gusto, payroll, invoicing, annual budgets, AP/AR, and taxes.
    • Ensure integration and consistency across platforms, including Deputy, Square, Shopify, and ShipStation.
    • Prepare, analyze, and distribute monthly P&L reports with analysis and interpretation.
    • Support CEO and leadership team to set annual budgets and evaluate the monthly and quarterly assessment of progress against goals.
  • Data Analytics and Reporting
    • Track and report Key Performance Indicators (KPIs) across multiple business units.
    • Develop, maintain, and analyze dashboards and scorecards for managers, providing insights and recommendations.
    • Analyze sales trends, customer behavior, and market conditions to deliver actionable insights that drive revenue growth, cost reduction, and enhanced employee and customer experiences.
  • Business Operations
    • Partner with the executive leadership team to initiate, execute, and interpret key operational data to drive our strategic goals forward and identify new opportunities for Commonplace Coffee.
    • Oversee reporting and compliance with local, state, and federal regulations, including inspections, labor laws, and insurance requirements.
    • Execute key operational and financial steps for HR administration including those required for onboarding and offboarding staff, timesheets, withholdings, W-2 administration, etc.
    • Lead the project management, administration and execution of additional opportunities identified by the CEO and executive leadership team.
    • Support the team members at Commonplace Coffee’s Headquarters with ad hoc administrative support that drives employee satisfaction and a high quality, engaging and dynamic workplace.

Qualifications

  • Minimum 3-5 years of experience in finance, analytics, or business operations roles with a preference for strong financial experience.
  • Highly proficient with financial analytics tools (Excel, Google Sheets) and preference for familiarity with QuickBooks and other financial and HR software.
  • Highly skilled in interpreting complex data to deliver actionable insights that drive operational and financial improvements.
  • Proven track record of successfully managing complex projects and analyses and delivering measurable results with minimal supervision.
  • Self motivated with a proactive, can-do attitude that thrives in a small business environment.
  • Excitement for independently identifying priorities and developing innovative solutions that improve processes or address bottlenecks. 
  • Problem solving mindset and eagerness to tackle challenges with a strategic approach.
  • Highly adaptable, able to adjust quickly to changing priorities, embraces new tools and processes and approach the work from a growth-oriented mindset.
  • Collaborative team player who builds strong relationships across departments, fostering a culture of collaboration and mutual respect.
  • Able to communicate effectively with stakeholders at all levels.

Work Environment

  • Work is performed at Commonplace Coffee Headquarters and occasionally remotely.
  • This job involves high amounts of interpersonal interaction.

Classification

  • Full-time.
  • This position reports to the CEO.

  • None.
